Company: New England Home Care (NEHC), a leading provider of specialized nurses and paraprofessionals who deliver quality home care services throughout the Connecticut.
New England Home Care is a part of National Health Care Corporation in New York.

Challenge:
NEHC had achieved rapid growth through acquisitions but they were still using a legacy, paper-based billing system. They recognized that there needed to be a way to streamline the process of capturing nursing notes and entering time sheet information into the billing system in order to reduce the operational cost and latency time and improve accuracy.

Solution:
Imaging Solutions worked closely with NEHC to analyze the flow of their documents and make recommendations for a technical solution that would eliminate bottlenecks, expedite processing for billing, improve accuracy, reduce labor, provide ready access to nursing notes and timesheets and automate processes wherever possible.

Documents are scanned in the remote offices and electronically transmitted to the central office instantaneously. Once received on the server in the central office, the images are imported into the data capture software, which performs an Optical Character Recognition (OCR) operation on the images and collects the data from the forms. A file of billing data is imported into the billing system.

A feed from CareWatch, their telephany-based provider for visit verification and employee tracking, was also integrated into their document storage and retrieval system.

Results:

The implemented solution allows NEHC to enjoy these benefits:

  • Ability to ensure that all documents are stored and available in an audit situation thus reducing audit exposure and improving audit findings
  • Substantially reduced operational costs through the virtual elimination of manual data entry
  • Enhanced interaction with insurance carriers
  • Improved integrity of the documentation by capturing it early in the process
  • Enabled access to nurse notes and visit verification and tracking information from all locations.
