Challenge:  Construction project info sheets and contracts were being faxed from many locations - Kinko’s, small construction offices, etc. with no automation. Construction project info sheets were needed to establish and verify a project, agree on pricing and pricing terms and used to set up the Accounts Payable process. The end result was that construction projects were being delayed because the appropriate contracts and authorizations were not available in a timely matter and contractors were not being paid on time.

Solution:  Imaging Solutions designed a capture solution using barcodes and multiple batch classes that automatically determined if the info sheets were from specific divisions. Once the batch class was determined, the info was routed to the appropriate person using an internal document management system.  Projects were verified, pricing was negotiated and payment terms were established. 


Results:  The end result was that the process to authorize the construction of the project, agree on the pricing of the materials used and set up the accounts payable process was streamlined. Contractors are being paid in a timelier manner with fewer delays and therefore large projects have a better opportunity to be on time and on budget.
